Our Commitment To Privacy
Your privacy is important to us. To better protect your privacy we provide this notice explaining our online information practices and the way your information is collected and used. Orders processed on our web sites are accepted solely on behalf of institutions that have contracted with us for processing services (generally high schools, colleges, universities, and municipalities). To make this notice easy to find, we make it available through our homepage and on all of our order entry pages.
Who We Are and How We Conduct Our Business
Information We Collect
When placing an order on our site, you may be asked to enter personal information that is required in order for us to successfully process your order. Depending on individual institution requirements, this information may include your current name, prior name, e-mail address, mailing/billing address, phone number, cell phone number, payment card information, years of attendance, birth date, student identification number and/or Social Security number.
We DO NOT collect any information associated with the following categories: confidential medical facts, racial or ethnic origins, political or religious beliefs, or sexuality.
How We Use Your Information
With the exception of payment card information that must be provided to our payment processor (Bank of America Merchant Services), your information, whether public or private, will not be sold, exchanged, transferred, or given to outside parties. The personal information you provide is matched against the information in our client institution's system in order to validate your identity and locate your records. All information you provide to us other than payment card information is accessible by our contracted institutions for the express purpose of delivering the purchased product or service you have requested.
Any e-mail address, telephone number, or cell phone number you provide is used only to communicate with you regarding information and status updates pertaining to your order. We do not provide any of these personal information items to any outside parties.
How We Protect Your Information
To prevent unauthorized access, maintain data accuracy, and ensure the correct use of information, we have implemented a variety of security measures to safeguard your personal information when you place an order. We have in place appropriate physical, electronic, monitoring, and managerial procedures to safeguard and secure the information we collect online.
Payment card information is used exclusively to process the charges related to your order. We transmit payment card transaction information to our credit card servicing company, Bank of America Merchant Services, using the most current secure TLS protocols. In an effort to follow accepted industry guidelines, your credit card number is always encrypted when stored in our system and we never store the payment card security validation code. The payment card number is never stored as readable clear text and it is purged from our systems within 2 days of your order being completed or cancelled. Most orders involving sales of parking permits are charged at the time we accept your order and your card is purged within 2 days.
We encrypt all web pages (not just pages containing personally identifiable information) utilized in our order processing systems. All web pages are transmitted using https encryption technology and we support only the highest protocols with strong ciphers (currently TLSv1.2).
All of our employees are subjected to professionally-conducted background checks at the time of hire. They receive training in privacy and data security at the time of hire. We conduct formal security awareness training and testing of all employees on a continuous basis. Other than when accepting orders over the telephone, access by our employees to payment card numbers, Social Security numbers, and birth dates is restricted and masked. Payment card numbers, Social Security numbers and birth dates are stored in our database tables using industry-standard strong-encryption technology and are purged on a regular basis.
Disclosure to Outside Parties
Aside from delivering academic records from one of our contracted institutions to a recipient as instructed by you, we do not sell, trade, or otherwise transfer to outside parties any information provided by you. We may release your information only if we believe such release is appropriate to comply with the law or to protect ours or others' rights, property, or safety.
California Online Privacy Protection Act Compliance
Because we value your privacy, we have taken the necessary precautions to be in compliance with the California Online Privacy Protection Act. We will therefore not distribute your personal information to outside parties without your consent.
Childrens Online Privacy Protection Act Compliance
We are in compliance with the requirements of COPPA (Childrens Online Privacy Protection Act), we do not knowingly or intentionally collect any information from anyone under 13 years of age. Our website, products and services are all directed to people who are at least 13 years old or older.
